This Privacy Policy explains what information b/digital MATRIX ("we," "us," "our") collects, how we use it, and the choices you have. It applies to bdigitalmatrix.io, our client portals, and our telephone and messaging services.
Mobile phone numbers and SMS consent
We do not sell, rent, or share mobile phone numbers or SMS consent data with third parties or affiliates for their own marketing or promotional purposes. Consent to receive text messages from us is never shared with anyone else for marketing. We disclose phone numbers only to the communications vendors that transmit messages on our behalf, and only so that they can deliver the message you asked for.
How we obtain your consent
We operate an AI-assisted voice assistant that answers inbound calls to our business line. If you call us and speak with that assistant, it may ask whether you would like to receive a text message summarizing the call and any follow-up items. You receive a text only if you affirmatively agree during that call. We keep a record of that consent alongside the call.
Separately, a small number of internal contacts — our own staff, partners, and vendors with an existing business relationship — receive operational text notifications about call and system activity. Those recipients have agreed to receive them.
Message frequency
Message frequency varies and depends on your interaction with us. In practice you should expect no more than one to two messages following a completed call, plus occasional service or account notifications. We do not send recurring marketing campaigns over SMS.
Cost
Message and data rates may apply. We do not charge you for the messages themselves; your mobile carrier may charge you according to your plan.
Stopping messages
You can opt out at any time by replying STOP to any message you receive from us. We will send one confirmation and then stop. Reply HELP for assistance, or email [email protected]. Opting out of text messages does not affect your ability to reach us by phone or email.
Full messaging terms are available in our Terms & Conditions.
Information we collect
- Contact information you give us — name, business name, email address, phone number, and role.
- Call information — the phone number you called from, the time and duration of the call, a transcript or summary where recording is disclosed and permitted, and any consent you gave during the call.
- Messages you send or receive from us, and their delivery status.
- Website usage — pages visited, referring source, approximate location derived from IP address, browser and device type.
- Assessment and diagnostic inputs you voluntarily submit through our tools.
We do not knowingly collect information from anyone under 18, and our services are directed to businesses rather than to children.
How we use information
- To respond to you, deliver the services you requested, and follow up on calls.
- To send the post-call summaries and operational notifications described above.
- To operate, secure, troubleshoot, and improve our services.
- To prepare advisory deliverables for clients.
- To meet legal, tax, and regulatory obligations.
We do not use your information to make automated decisions that have a legal or similarly significant effect on you, and we do not sell personal information.
Who we share information with
We share information only with service providers who process it on our behalf under contract, and only as needed to run our business. These include cloud hosting and database providers, communications providers that place calls and deliver messages, email delivery providers, analytics providers, and customer-relationship and productivity tools. We also disclose information when required by law, to enforce our rights, or in connection with a merger or acquisition — in which case this Policy continues to apply to the transferred information.
As stated above, mobile phone numbers and SMS consent are excluded from any sharing for third-party marketing.
Retention
We keep information for as long as needed to provide our services and to meet our legal and contractual obligations, then delete or de-identify it. Call records and message logs are generally retained for up to 24 months unless a longer period is required.
Security
We use encryption in transit, access controls, credential management, and least-privilege practices to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your choices and rights
You may ask us to access, correct, or delete your personal information, or to stop contacting you. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the Colorado Privacy Act, including the right to know, to delete, to correct, to opt out of sale or targeted advertising, and not to be discriminated against for exercising those rights. We do not sell personal information or use it for cross-context behavioral advertising.
To make a request, email [email protected]. We will verify your request and respond within the time the law allows.
International visitors
We operate in the United States and process information there. If you contact us from outside the United States, you understand that your information will be transferred to and processed in the United States.
Changes to this Policy
We may update this Policy. When we do, we will revise the "Last updated" date above. Material changes to how we handle SMS consent will be posted here before they take effect.
